Questions from HVAC Business Owners
Can the AI receptionist answer calls outside business hours?
Yes. Automated intake can be configured for after-hours, overflow, or broader coverage. Availability depends on your phone setup and connected providers; escalation still needs an agreed human response process.
Can it speak Spanish?
English and Spanish conversations are supported in the demonstrated workflow. Production scripts, pronunciation, and handoff behavior are tested with your business before launch. This page uses static English and Spanish example scripts.
What information can it collect?
Your approved questions can cover the reported problem, when it started, equipment type and age when known, contact details, service address, and scheduling preferences. Unknown details can remain unknown; the system does not need to invent an answer.
Can it schedule appointments?
Where your calendar supports integration, it can coordinate available times under your approved rules. You decide whether a request needs contractor confirmation. All times in this demo are fictional; it creates no bookings.
Can it recognize emergency requests?
It can flag conditions in explicit business rules, including a reported gas smell, carbon monoxide alarm, smoke, water near electrical equipment, or significant flooding. It does not diagnose equipment or replace emergency responders. A reported gas smell triggers immediate safety guidance: leave the area and call 911 from a safe location, then notify the gas utility. Contractor escalation is a separate step and must not delay that call.
Can we use our existing business phone number?
Often, forwarding or routing can keep your current number. Feasibility depends on your carrier, phone system, caller ID behavior, and transfer requirements. We confirm these during discovery before committing to a setup.
Does it replace our current scheduling software?
The aim is to work with your existing tools where practical. Integration availability depends on their APIs and permissions. If a connection is unavailable, an intake-and-review workflow may be more appropriate.
Can a contractor review requests before confirming them?
Yes. Human approval can be required for visits, unusual requests, escalation, and commitments outside your standard rules. You retain control over service promises and response procedures.
Can it send estimates?
An approved estimate or statement-of-work workflow can be included in the agreed scope. Templates, pricing sources, approval steps, document delivery, and any electronic-signature integration are configured explicitly. The receptionist does not independently invent prices or commitments.
What happens if the AI cannot understand a caller?
The configured workflow can ask for clarification, repeat critical details, and hand off to a person or create a callback request when intake cannot be completed. Fallback behavior and monitoring are part of the implementation.
